We are looking for a Backoffice manager

As our Backoffice Manager you help organizing and structuring our growth in many ways. As we are a young company it means that this role is very multi-faceted. Next to internal processes we have many services and products that we deliver to our customers which need to be administered from multiple perspectives.

From the revenue perspective we need to invoice our customers based e.g. based on timesheets or subscription contracts. And when things aren’t in place you will make that so by reaching out to colleagues to e.g. provide them with the right time-writing codes, checking with Sales how to interpret and bill that Statement of Work and make sure that we have a Purchase Order attached to the project.

From the financial perspective you ensure efficient and correct financial administration and coordination with colleagues. You are involved in preparing tax returns, bank entries, processing purchase and sales invoices and you provide data for various financial reports. You also take care of debtor and creditor administrations and you process changes in the general ledger.

From the internal perspective we need to structure and organize HR processes as well as administer them. Together with Management & Recruitment you take care of the administration of the inflow and outflow of employees or temporary hires and make sure the payroll admin is done efficiently. You signal contracts that are expiring on time and inform the manager of this. You prepare contract extensions and ensure that the employees receive these on time.

In addition, you manage all administrative questions that colleagues might have. You make sure they are answered quickly and analyze them so to suggest and implement improvements across the board.

  • You can work independently but are a team player as well
  • Experience with Administration tools and Software (Exact / Excel) or quick to learn
  • Relevant working experience
  • Fluent in English (Dutch is a strong plus)
  • Diploma or having studied in the field of administration
